What's included
Connect documents to their owners and decisions
A document process is more than a place to store files. Teams need to know which copy is current, who owns the content, who may review it and what decision the document supports. Begin with one recurring process, such as a supplier agreement, internal procedure or project handover, and describe its route from preparation to acceptance.
Review Documents, File Sharing, Workflow, Internal Knowledge and Activity Log against that route. Agree a naming convention and business reference before moving material into the workspace. Define which information belongs in a shared procedure and which should stay restricted to the people handling the underlying matter.
The implementation discussion should make revision and exception handling explicit. Decide how a reviewer requests changes, how the team identifies the accepted copy, and what happens when an owner leaves or an approval is delayed. Walk through representative files with the people who prepare, review and use them. Check whether each person can find the right document and understand the next required action without relying on a private message or an unexplained filename.
Clarify three setup questions: Who is accountable for each document type? How does a reviewer identify the version being considered? What should happen when a document is withdrawn or replaced?

How we work
A rollout built for adoption
We configure the right modules, validate permissions and workflows, train users, then improve the workspace as your operations grow.
Discovery & Success Criteria
We map your current workflows, identify bottlenecks, and define clear metrics for success.
Map Workflows + Data Access
We document every step, identify bottlenecks, and determine what data and systems need to connect. No surprises down the road.
Build + Test + Security Review
We build incrementally, test thoroughly, and review security at every stage. You see progress weekly and can give feedback early.
Launch + Monitor + Iterate
Go live confidently. We monitor performance, catch issues, and optimize based on data.

FAQ
Common questions
Everything you need to know before we start working together.
How long does a typical automation project take?
It depends on complexity. A single workflow can be live in a few weeks. Multi-system projects with AI components typically take longer. We’ll give you a realistic timeline after our discovery call—no surprises.
What access do you need to our systems?
We request only the minimum access required for each integration. For most projects, this means API keys or OAuth connections. We document all access and follow least-privilege principles.
Who owns the automations you build?
You do. Everything we build belongs to you. We provide full documentation, and you can maintain or modify the workflows yourself. We’re also happy to provide ongoing support if you prefer.
What happens if something breaks after launch?
We don’t disappear after launch. If something breaks or needs adjustment, our team is available to quickly diagnose and resolve the issue. We also offer ongoing support and optimization to ensure everything continues to run smoothly as your business evolves.
How do you handle data security?
Absolutely. We’re platform-agnostic and work with whatever tools you already use. If you have preferred vendors or existing technical teams, we collaborate seamlessly.
Can you work with our existing tools and vendors?
That’s exactly what our discovery process is for. We’ll help you identify the highest-impact opportunities based on time savings, error reduction, and strategic value.
Do you offer ongoing maintenance?
What if we're not sure what to automate first?
Each session is 50-60 minutes. We’ll decide together how often to meet—typically weekly or bi-weekly, depending on your needs and schedule.
